Inventory Report

An inventory report is a full list of the contents, fixtures and fittings of the property room by room, which also includes its condition and cleanliness. It also covers any other areas that the tenant will have access to and will be required to maintain, e.g. gardens, outbuildings, garages etc. 


It should be carried out by an unbiased third party and acts as a binding agreement between the landlord and the tenant when the document is signed off. The benefit of having an inventory report is that this is often referred to so as to prevent end of tenancy disputes.

A TDPI inventory report will include:

  • Details and condition of all fixtures and fittings in each room
  • Digital photos of each room
  • Digital photos of any marks/defects or damage seen
  • Digital photos of all appliances together with the make, model and serial number (if seen)
  • Fire labels checked on furniture to ensure compliance
  • List of all keys and all manuals present
  • List of all smoke/heat/carbon monoxide detectors including their location and replacement dates (if seen)

Check In Report

A Check In inspection takes place with the new tenant or their representative at the start of their tenancy agreement.
During the visit, we will:

  • Review the content of the inventory together
  • Confirm all utility meter readings
  • Confirm all keys issued
  • Test all smoke, heat and carbon monoxide detectors


This visit can be completed without the tenant being present, however it is recommended that they attend wherever possible.

Mid-term Inspection Report

The purpose of a Mid-term inspection is to check that the property is being well looked after and identify any repair or maintenance work that needs attention.


By dealing with any issues early on both parties can take the necessary steps to resolve matters in order to avoid unexpected and costly problems, which may worsen during the remainder of the tenancy. Mid-term inspections are usually completed every 3-6 months. We will happily liaise with your tenant in order to schedule in the visit.

Here is what you can expect from a TDPI Mid-term inspection:

  • Details of any maintenance issues
  • Details of any damage to fixtures and fittings
  • Report of any unauthorised pets
  • Signs of sub-letting or smoking
  • Summary on the general level of care

Check Out Report

A Check Out visit is completed on the last day of the tenancy agreement. Every area and item listed on the Inventory report is checked to confirm whether there have been any changes to its condition or cleanliness. All changes are listed in the Check Out report with supporting colour photographs. Additionally, we state against each item whether the change is chargeable to the tenant, remains the responsibility of the landlord or should be classed as fair wear and tear.


It is not a requirement for the tenant or landlord to be present for the duration of the Check Out visit – no comments are made at this stage and the visit can often last for a couple of hours, depending on the property size.

Here is a list of what you can expect:

  • Confirmation of the closing utility meter readings with supporting digital photos
  • List of keys returned, highlighting any that are missing
  • Testing of all smoke/heat/carbon monoxide detectors
  • Report on any changes to the general condition of the property and its contents
  • Summary of the property’s cleanliness, including photos of any professional cleaning receipts
  • Digital photos accompanying changes to the condition recorded in the Inventory report
  • An unbiased decision of liability on any changes
  • Return of keys on your behalf, as previously instructed
